CMMS and EAM software: what it is and how to choose

Before choosing maintenance software, it pays to know what an unplanned shutdown costs you today. Leadership's decision is choosing between a CMMS, an EAM or the ERP's maintenance module without overpaying or falling short.

CMMS and EAM software: what it is and how to choose

A CMMS (computerized maintenance management system) is the software that schedules, assigns and records maintenance work: work orders, preventive maintenance, spare parts and each machine's history. An EAM (enterprise asset management) does that and also follows the asset throughout its life, from purchase to retirement.

A disclosure before we continue: Cyrrus doesn't resell licenses or take commissions from any vendor. That's why we can compare without preferences.

What is the difference between a CMMS and an EAM?

A CMMS focuses on the maintenance stage and is used mostly by maintenance and production teams, with the goal of avoiding unexpected downtime. An EAM spans the whole lifecycle and also involves finance, operations and management, because it includes planning for new assets, risk analysis and performance analysis. The products overlap and many vendors use the two terms interchangeably, so compare real functions, not labels.

Three ways to manage maintenance
OptionWho uses it and what it coversWhen it usually suffices
The ERP's maintenance moduleMaintenance and finance on a single platform; integrated orders and costsMid-complexity operations that already have an ERP and prioritize a single platform
Specialized CMMSMaintenance and production; scheduling, spare parts, historyPlants that clearly need to organize work and cut downtime, with fast implementation
EAMMaintenance, operations, finance and management; lifecycle, risk and capitalHigh-cost assets, several plants or sites, regulatory or certification demands

When is a CMMS enough and when is an EAM justified?

A full CMMS can be enough when the problem is execution: paper work orders, uncontrolled spare parts, reactive maintenance. An EAM is justified when leadership's question is about the portfolio: when to replace an asset, how much to invest in each plant, what risk to accept. As CMMS products add EAM-type functions the gap narrows, which is why a cost-benefit analysis makes sense before paying for the extra features.

What should leadership measure to justify the investment?

Before asking for demos, measure what you can't see today: what an hour of unplanned downtime costs on your critical lines, what share of work is preventive versus corrective, how much is spent on emergency spare parts and how many critical machines lack a reliable history. With that data the business case writes itself, and it also lets you measure the result a year later.

How does it connect to the ERP?

Maintenance consumes spare parts, generates purchases and charges costs to accounting. A poor integration forces double entry or manual reconciliation. Before choosing, define which system is the source of truth for the equipment master, the spare-parts inventory and costs, and who maintains the integration. If you haven't chosen the ERP yet, decide both together.

How do you choose maintenance software?

Start from your real operation: equipment criticality, number of plants, technical staff and how work is logged today. Ask for a demo with your own assets and test field use with two or three technicians on the device they will actually use. If you want to certify your asset management, the ISO 55000 family sets the framework: ISO 55001 establishes the requirements of an asset management system.
